HERITAGE, CULTURE & THE ARTS COMMISSION MEETING

CALL TO ORDER
Jennifer Sylman called the meeting to order at 4:10 p.m.
ROLL CALL
Members Present: Roberta Bhasin, Peg Reed, Jan McConnell, Jennifer Sylman, Joan
Howard, Letitia Williams, Barbara Tobiska, Donald Tallman,
Zenat Shariff Belkin, Dave Wiechman and Zachary Matyja.
Absent: Bob Zachman, Cathy Te Slaa.
HCA Staff Members: Niña Johnson, Kim Kritz, Robin Anderson, Susan Martin, Elizabeth Nosek, Win Filipunas, Kris Anderson and Mike Buhler.
Council Members: Barb Martin and Debbie Koop
The public comment book was out and made available for public sign in.
APPROVAL OF MINUTES
Minutes from November 20, 2002 were approved by unanimous vote.
NEW BUSINESS
¨ Jennifer Sylman introduced the two new commission members, Zachary Matyja
and David Wiechman and asked that all members introduce themselves and give
a brief bio.
¨ Kathy Hodgson, Director of Community Resources introduced herself and
thanked the commissioners and staff for their hard work and dedication this
past year. Kathy also stated that the commission is a great asset to the City.
¨ Niña Johnson gave a brief update on the SCFD 15th Anniversary celebration.
The celebration will be in September 2003. Kim Kritz is on the marketing committee
working on this special event.
¨ Niña Johnson gave a "Thank You" bucket to the commissioners who helped paint the new staff offices at the museum. The commissioners that volunteered their time are Roberta Bhasin, Joan Howard, Jennifer Sylman, Bob Zachman, Jan McConnell, and Barbara Tobiska.
STANDING COMMITTEE REPORTS
Landmarks - Donald Tallman stated that at the committee meet last night Win Filipunas provided a little background and history of Lakewood. Niña talked about the difference of a national, state and local designation and about the different designations a landmark can have and about the procedures for processing designations. The committee has received 2 applications and will be working on these immediately. 1) 800 Benton 2) Valentine Diner. Parts of the JCRS campus has been sold to an art school. The committee will work closely with the school determining how best to use the space. The committee established goals for the year on finalizing the application process, identifying the value of criteria for historic designations, designate the Valentine Diner, designate 800 Benton St., help to re-write the city ordinance 11 and provide a framework for historic preservation.
Public Art - Jan McConnell stated that the committee meet and discussed a probable move of the Rocky Mountain College of Art Design. This move has a lot of potential for future coordinated activities between HCA and RMCAD. Barb Martin gave a brief update on the Triad project. She stated that Jan McConnell and Jennifer Sylman gave a presentation to the American Associations of Universities Women (AAUW) about becoming our raffle license group. Jan and Jennifer did a great job. AAUW will now go forward to attain a raffle license. Barb Martin also stated that if you donated $50 towards the sculpture you will receive 4 tickets for a performance. Barbara Tobiska gave a brief update on the dinosaurs. The funding has not come through but the artists did with a total of 89 entries! Alameda Gateway and Friends of Dinosaur Ridge are doing the funding raising. Barbara suggested that commissioners might want to attend a reception of the 89 pieces on Tuesday, March 18th, from 6 - 8 p.m. in the loft of the gallery. Up to 25 entries will be chosen.
Program - Susan Martin stated that the program committee revisited a topic that has come up a couple of different times in the past and the topic is surveys. The question is what type of survey instrument will serve us best at this time. The committee did come up with a short anonymous type survey that will be distributed at six upcoming programs this spring. Hopefully we will get some baseline of information that we will be able to use to track our patron use. There will be no open-ended questions as they tend to be hard to deal with.
Friends - Zenat Shariff Belkin stated that she needs to meet with the executive committee.
O & O - Jennifer Sylman stated the entire committee meeting was devoted to the Discussion of SCFD Educational Alliance Funds. The committee brainstormed and discussed best uses for allocation of these funds. Staff before final approval will review the breakdown of funds.
Executive - Niña Johnson said the executive committee did not meet this month but she wanted to update you on two topics.
¨ Niña stated that she was looking to be come more involved with the National Trust for Historic Preservation National Conference, which will be held in September 30th thru October 5th. Niña and Win have been attending meetings and have put together field session proposals on Architectural Zoos and Adoptive Reuse of Historic Structures on Affordable Housing. Both are very hot topics. Niña asked the commissioners if they would be able help host the presentations if they are chosen. They would need help in setting up, tour guides, etc. Niña will update the commissioners as the date get closer.
¨ Niña Johnson state that there has been a drainage issue at the Heritage Center directly east of the calving barn. This has caused some erosion problems and we have had to block off part of the area that could be used for festival events. Community Resources was able to put together enough money this year to work on the drainage. Hopefully the work will start early spring.
OLD BUSINESS
¨ Niña Johnson said she negotiated with the City of Aurora yesterday to extend the Agreement between Lakewood and Aurora. If you remember the Agreement was to term at the end of 2002, but because we took the diner into the Quail Shops and began to do some restoration so that when it was place on site so it would look as good as possible we went passed the term date. Now the City of Aurora agreed to pay for the move from the Quail Shops to the Heritage Center. The foundation for the diner is in place and we hope within the next two weeks to place it on site permanently.
¨ Niña gave a brief presentation on the finishes and colors for the new Visitor Center.
¨ Niña also gave an update on the Two Bears Sculpture donated by an anonymous donor. The sculpture will be sited outside the Public Safety Center adjacent to Belmar Park. The artist wants the sculpture to be place in natural setting. Nina passed around sketches of the sculpture and site.
STAFF REPORTS
Kim Kritz is working on the new edition of the BRAVO, it will be mailed end
of April. The publisher is trying to keep it to 32 pages. HCA will have an ad
in Arts to Zoo. Continue working on a senior citizen survey with community Resources,
Resource Development and our 50+ population (Clements Center) 8000 were mailed
last week to 50+ households in Lakewood.
Elizabeth Nosek read a few comments from the sign in book on an exhibit she is taking down. Lakewood's History Fair is on the horizon it's coming up in May 8 & 9. So far, 629 students enrolled and will close the enrollment at 700.
Win Filipunas gave a brief update on the museum staff office move. Just doing small finishing touches.
Kris Anderson stated the Americana Series is getting ready to start in the exhibit room. Hoping to get a 1935 pop-up trailer in the room. The exhibit will also have a book where viewers can record their favorite vacation.
Susan Martin stated that the Nutcracker was very successful this year. The Nutcracker was about 98% sold. The SCFD bear was in attendance about 4 times joining is lobby activities with the kids. Michael Cooper was written up in Westword. Susan also gave a brief update on upcoming performances.
Mike Buhler is working on the special events supply inventory. There will be major focus this year on public safety . He is also working on a standardized manual for the volunteers and continuing to work on sponsorship packets.
Robin Anderson gave a brief history on the Werner Drewes Bauhaus exhibit that is going up.
FYI
Niña stated that this year the HCA Division was up 15% in net revenue,
net audience was up 17%, gift shop sales up 14%. GOOD JOB!
Kim Kritz stated that for 2001 the volunteer hours used were 9900 and for 2002 the volunteer hours were 13,000. WOW!
A Special "thank you" to the Rotary Club for giving us grant of $1000 for the Smithsonian Exhibit of Red, White and Blue. Some members of the Rotary Club are volunteering to help set-up the exhibit when it arrives.
